** Indicates a “Season Job” and will fulfill your entire job commitment for the season. Many of these jobs will already have people pre-trained and pre-selected so will not be available at the time of sign-ups. All other jobs have a point value listed with the job description. These points count towards your team commitment for the season (we will have the final number of points required prior to sign-up day)



Age Group Activity Coordinator (6U/Kit Club)— (1 point, 1 volunteer): Provide age-appropriate activities for the swimmers of the designated age group. Advertise the event at least 2 weeks prior through email, Facebook, and family folders. Contact Katie Hupp for assistance on sending an email to the group. Must be available on Tuesday, 6/9.

Age Group Activity Coordinator (7/8)— (1 point, 1 volunteer): Provide age-appropriate activities for the swimmers of the designated age group. Advertise the event at least 2 weeks prior through email, Facebook, and family folders. Contact Sarah Floyd for assistance on sending an email to the group. Must be available on Tuesday, 6/16.

Age Group Activity Coordinator (9/10)— (1 point, 1 volunteer): Provide age-appropriate activities for the swimmers of the designated age group. Advertise the event at least 2 weeks prior through email, Facebook, and family folders. Contact Lauren Brown for assistance on sending an email to the group. Must be available on Tuesday, 6/23.

Age Group Activity Coordinator (11/12)— (1 point, 1 volunteer): Provide age-appropriate activities for the swimmers of the designated age group. Advertise the event at least 2 weeks prior through email, Facebook, and family folders. Contact Nicole Dobson for assistance on sending an email to the group. Must be available on Tuesday, 7/7.

FILLED **Apparel Coordinator— (Season Job, 1 volunteer): Start designing team apparel in January. Work with Elsmore Swim Shop to set up a team store. Distribute apparel not sent directly to family’s houses. Sell apparel at home meets and other events. Plan a “swimsuit try-on” day the first week or two of practices.

FILLED **Apparel Assistant— (half of required points, 1 volunteer): Assist the Apparel Coordinator with the designing, planning inventory, and whatever they need. Sell apparel at some home meets or other events.

Awards Ceremony Coordinators— (2 points per volunteer, 2 volunteers): Organize the Awards Ceremony. Confirm pool reservation with FHAP. Send a Sign-Up-Genius for drinks and desserts. Communicate with the computer operating team to ensure that we will have a microphone. Assist as needed. Set up tables for drinks and desserts. Contact Lauren Brown for assistance on sending an email to the group. Must be available on Friday, 8/14.

FILLED **Barbeque Specialist: (Season Job, 1 volunteer): Set up the flat BBQ grill in the parking lot of each home meet. Grill a variety of food (hamburgers, hot dogs, grilled cheese, etc) and deliver to the snack shack in the pool area. Keep an inventory of needed supplies. Clean the grill at the end of the meet and bring it back to its spot.

Bake Sale Coordinator— (3 points per volunteer, 2 volunteers): Work together to organize a Sign-Up Genius for baked goods and beverages. Arrive prior to picture day to set up a table. Sell the goods donated by the team. Count the monies raised and communicate with the Treasurer on how to get the money to the team. Contact Mara Dahms at [email protected] for assistance. Must be available on Friday, 6/12.

FILLED **Best Times Ribbons— (Season Job, 1 volunteer): Beginning in early May, inventory best times ribbons remaining from previous seasons and notify the secretary if more need to be ordered. Maintain swimmers’ best times after each meet. Communicate with SwimTopia volunteers to identify swimmers who have best times. Following each meet, place the best times ribbons in the family folders. Keep a master tally sheet of all best times. Update the medal and record board following each meet.

Buddy Organizer— (6 points, 1 volunteer): Once practice has started, put a questionnaire in the family folders (excluding Kit Club swimmers) that ask the name, age, and some “favorites” (fruit, candy, drinks, hobbies, color, etc.) of the swimmer. Leave a blank space for the name of the buddy. Families will need one questionnaire per swimmer. Indicate a due date for the questionnaire. Following the due date, assign an older swimmer with a younger swimmer and return the questionnaire to the new buddy. Contact Robin Gonzalez for assistance on sending an email to the group. Must be completed by June 5.

Coach Appreciation Week— (7 points, 1 volunteer): Advertise to the team via email, Facebook, family folders of the upcoming coach appreciation week. Provide a questionnaire to each coach asking about “favorites” (food, candy, restaurants, stores, snacks, color, hobbies, etc.) Communicate with the treasurer to determine your budget. Come up with a daily theme. Provide bags/baskets for each coach where swimmers can place their gifts to the coaches daily. Contact Sarah Floyd for assistance on sending an email to the group. Must be available the week of 7/6-7/10.

FILLED **Head Shepherd— (Season Job, 2 volunteers): Between the two volunteers one of you must attend each meet. Set up a shepherd station on the pool deck. Communicate with the meet director about the markers for swimmers to stand on while they wait to go to their race. Ring the cowbell in the team area after first call announcing what the event is. Assist the age-group shepherds in getting the swimmers to their lanes and correct relay position. You are NOT required to hunt swimmers down. Their parents are responsible for getting the swimmers to the shepherd area. Must have an 8U swimmer. 

FILLED **Jobs Coordinator (Season Job, 1 volunteer): Work with the board starting as early as February to update the meet jobs and team support jobs. Populate swim meets with jobs. Communicate with the team about how the jobs work. Communicate with past season jobs holders to see if they want to continue in their positions. Pre-enter volunteers for jobs when needed. Assign a day for jobs signups. Fill empty jobs with families who did not sign up for enough jobs. At each swim meet check in volunteers and communicate with the board to fill in any vacant jobs.

FILLED **Medal and Record Boards (Season Job, 1 volunteer): Make a poster for the medal board with each swimmer’s name and all of the events. Use the results on Swimtopia to see which swimmers have achieved medal times and update the medal board, usually with color coded stickers. If a pool record is broken you will update that as well.

FILLED **Meet Sheet Printer (Season Job, 1 volunteer): Before every meet (excluding invitationals) print the meet programs, entry list, relay list, announcer script, and programs for system operators. Additionally, for home meets, print the lane slips. The total print volume is about 350-375 pages for home meets and 50-75 pages for away meets. This takes a few hours to print. Arrive at the meet one hour early to deliver the printouts (or make arrangements with the meet director). Must have a windows computer and laser printer. Team reimburses for paper and ink—save your receipts. Training will be provided prior to the first meet.

FILLED Pancake Breakfast Coordinators (3 points per volunteer, 2 volunteers): Create a Sign-Up Genius to send to the team asking for breakfast supplies. Arrive at the pool at 7:30am to set up the tables and cooking station. Prepare pancakes and sausages for each age group after they finish their workout. Clean up at the end. Must be available Thursday, July 9, from 7:00 am - 12:00 pm.

Parent Social Coordinators (1 point per volunteer, 2 volunteers): Plan an outing for the parents. This can be as simple as a night at the bars, trivia night at one of the downtown bars, mini golf, a movie night, etc. Advertise the events via email, Facebook, etc. Contact Mary Swenson for assistance on sending an email to the group. Must be available Friday, 5/15 and Friday, 7/10.

Pasta Dinner/Talent Show Coordinators (2 points per volunteer, 2 volunteers): Create a Sign-Up Genius with different categories of pasta, bread, salad, drinks, dessert, etc. Arrive early to set up tables and assist families in getting their food. Clean up after. Talent Show: Put a sign up on the team bulletin board and put together the “order of events” for the show. Give a copy to the families of those participating and the coach. Communicate with the board to ensure that the microphone will be available. Contact Katie Hupp for assistance on sending an email to the group. Must be available Wednesday, July 22.

Silent Auction Elves (2 points, 1 volunteer per age group): Request donations within their age group families and the community. Theme is optional. Bring an auction item in giftable form (basket, wrapped gift cards, etc.) to the Intrasquad meet. Contact Katie Hupp for assistance on sending an email to the group. Auction items must be prepared in time for the Intrasquad meet on Saturday, 7/1

FILLED **Spirit Week Coordinators— (Half of required points, 2 volunteers): Plan 5 days of fun for the swimmers the week before DCSL (7/20-7/24). Get activities approved by the Board. Communicate with the Treasurer regarding the budget. Set up and clean up the activities each day. Work with the other volunteers (each day you will have one “helper”) to ensure things run smoothly. One of the days is to be used to make posters that we will hang at DCSL. Usually the Friday is the “shave-down” day on the pool deck with a little art project. Contact Robin Gonzalez for assistance on sending an email to the group. Must be available the week of 7/20-7/24 from 8:00 am - 12:15 pm.

Spirit Week Helpers(2 points per volunteer, 5 volunteers) Communicate with the Spirit Week Coordinators. Arrive at the pool at 8:30 and oversee the activity of the day. Set up and clean up. Must be available on the day you select the week of 7/20-7/24 from 8:00 am - 12:15 pm.

FILLED **Fundraising Co-Chair (Half of required points, 2 volunteers): The Fundraising Co-Chair assists the Fundraising Chair with all fundraising efforts, including drafting emails, securing T-shirt sponsors, and helping with the silent auction. This role provides help wherever needed to keep fundraising running smoothly.

FILLED **Swim-a-Thon Coordinator (6 points, 1 volunteer): Communicate with the Board about budget. Purchase prizes to hand out to age-group “winners” and a raffle. Advertise to the team via Facebook, email, family folders. Distribute sponsor forms to each family. Communicate with coaches about the practice schedule because it’s different for swim-a-thon. Arrive at the pool prior to the first practice with printed papers for the lap counters. Organize lap counters (Sign-Up-Genius or word of mouth). Set up an account with 99pledges.com to collect funds You can also collect cash or checks. Once all funds have been collected, write a check to give to the treasurer. Contact Mara Dahms at [email protected] for assistance. Must be available Thursday, July 9, 7:00 am - 12:00 pm.

FILLED **Team Photographer (Season job, 1 volunteer): Take pictures of kids and families throughout the season at meets, practices, and other team activities. Work hard to try to get pictures of all of the swimmers. Share select images with the team videographer as you go. If images need to be edited or color corrected please do this prior to handing off to videographer. It would be great to also share photos with the team throughout the season. Hand off 90% of images to videographer by 7/27. Final handoff of images no later than 8/3.

FILLED **Team Videographer / Slide Show Creater (Season job, 1 volunteer): Using photos provided by team photographer and other parents, and video footage you take throughout the swim season as well, create a final video-slideshow compilation to be shared at the Awards Night at the end of the season on August 14. Work hard to try to include pictures or video of all of the swimmers. Create a slide show to be presented at Awards Night. If possible, provide a link of the final slide show/video to the families after the awards night presentation is complete.
