Meet Job Descriptions

** Indicates a “Season Job” and will fulfill your entire job commitment for the season. Many of these jobs will already have people pre-trained and pre-selected so will not be available at the time of sign-ups. All other jobs have a point value listed with the job description. These points count towards your team commitment for the season (we will have the final number of points required prior to sign-up day)



FILLED **Announcer (Season Job, 1 volunteer): This job requires training. Uses P.A. system to broadcast upcoming events, race results and other miscellaneous announcements. Must be available to work all home meets.

FILLED **Meet Scoring & Timing Analyst (Season Job, 3 volunteers): This job requires training. Two volunteers will need to be present at each home meet. Join the crew that makes race results official! As a Meet Timing and Scoring Analyst, you’ll be the eyes on the data in real time — monitoring our electronic timing system race by race, cross-referencing manual backup times, and making sure every result is accurate as it hits the scoreboard. What you’ll do:

~Monitor timing data in Swimtopia as each race is completed.
~Compare electronic times against manual backup times in real time.
~Catch and flag any discrepancies before results are finalized.
~Confirm accurate times for official scoring throughout the meet.
~Review judge DQ’s and add them to Swimtopia in real time

Commitment: Each volunteer will work 6 home meets for the 2026 season. This will be a team of 3 people who are responsible for scheduling yourselves for all home meets.

Head Timer (1 point per shift): Covers times for all lanes by operating two stopwatches. Delivers stopwatches during a race when a timer signals for assistance.

Lane Slip Organizer (2 points per shift): Sit at the computer table for the duration of the meet. Collect lane slips from runner. Organize according to heat. Highlight official times then pass on to data entry. Pass along DQ slips to the computer operators.

Parking/Hospitality (1 point per shift): Arrive 60 minutes before meets to save V.I.P. parking spot, coach and handicap spots. Open the chain for board members and others who are permitted in the lot. Before meet starts, check bathrooms for cleanliness and paper supply. Periodically bring snacks and drinks to workers. Ensures that cars park legally in the FHAP parking lot and surrounding area including the fire lanes. Maintains a neat environment by re-stocking the bathrooms as needed. Periodically check trash cans on the pool deck and visitors area to empty and bring to the dumpster in the parking lot. They are the twist off lid type of can.

FILLED **Starter (Season Job, 4 volunteers): This job requires training. Communicates with Timers, Referee and swimmers prior to each heat. Starts each heat using the P.A. Watches relays for false starts and indicates to the starter if they saw one. This job is only half of the swim meet. There is a shift change in the middle of the meet. This will be a team of people who are responsible for scheduling yourselves for all home and away meets.

FILLED **Referee (Season Job, 4 volunteers): This job requires training. Approves stroke and turn disqualification. Works with Starter to begin each race. Watches relays for false starts and indicatesto the starter if they saw one. Sign DQ slips brought by the runner. This job is only half of the swim meet. There is a shift change in the middle of the meet. This will be a team of people who are responsible for scheduling yourselves for all home meets.

Relief Timer (1 point per shift): Starting about 45 minutes after the meet, check in with the timers and give them relief/breaks throughout the meet. May also be used to fill a spot if a timer does not show.Each family may only sign up for this job ONE time per season.

Ribbon Organizer at HOME MEETS (2 points per shift): This is an at home job on the day(s) following the meet. At the meet, communicate with the meet director or the away team ribbon person to arrange for delivery of the completed ribbons. Following the meet, grab the ribbons (contact any board member--they’re always on deck) and ribbon labels (labels are in a file in the family folder labelled “Ribbon Organizer). At home, print the labels (we will email them to you), placethe printed labels on the ribbons, separate the other team’s ribbons, and deliver the other team’s ribbons however you arranged. Place FHST ribbons in the family folders. The hours on the meet job signup do not reflect the hours of the job. It won’t let me put times for any day other than the day of themeetbut you have a couple of days to get them done, delivered to the visiting team, and placed in our family folders. You must have access to a printer and deliver ribbons by Friday following a Wednesday meet and Monday following a Saturday meet.

Ribbon Organizer at certain AWAY MEETS (2 points per shift): At some away meets, they will have an on-site ribbon table. You will work at this ribbon table (the location varies at each pool) during the meet. This is NOT an at-home job. You must stay until all the ribbons are done and then bring the ribbons to our pool the next day to place in the family folders (or make arrangements for someone to do that (there are always people at the pool to help with that). In 2026 there are 4 meets with an on-site ribbon organizer: 5/30 Aquanights, 6/3 Pleasant Hill Dolphins (PHD), 6/10 Walnut Country Swim Team (WCST), 6.27 Ygnacio Wood Swim Team (YWST).

Runner (1 point per shift): After every 5th event, walk behind the timers to grab the heat sheets and deliver them to the lane slip organizer at the computer table. Periodically check in with both stroke and turn judges to get DQ slips. DQ slips get delivered to the referee to sign and then to the lane slip organizer. This job is only half of the swim meet. There is a shift change in the middle of the meet.

FILLED **Head Set-Up & Take-down (Season Job, 2 volunteers): This job requires training. Work together with the other Head Setup & Takedown person to assure the set-up of equipment before our HOME meets, and and clean-up after the meets. Responsible for lane lines, chairs, easy-ups (tents), parking lot signage, rope off pool deck, connecting the speakers, and making sure they work.

The regular Setup & Take-down volunteers will report to you for instructions. Must arrive reliably early before the other volunteers. (by 3:45 pm on Wednesdays and by 6:45 am on Saturdays). Must remain 30 minutes or as long as needed after the meet ends for take-down and cleanup. This is a great job because it allows for parents to be with your kids the whole meet.

Set-Up & Take-down (2 points per shift): Report to the Head Set-up & Take-down parents for specific instructions. Saturday meet workers must arrive by 7:00 a.m. Saturday, Wednesday meet workers must arrive by 4:00 p.m. Set-up and clean-up of equipment: lane lines, chairs, easy-ups (tents), parking lot signage, rope off pool deck, etc. Must remain 30 minutes or as long as needed after the meet ends for take-down. You will be expected to be present at the pool for the cleanup. This is a great job because it allows for parents to be with your kids the whole meet.

Shepherd (2 points per shift): Receives copies of meet sheets, places swimmers in advance of their race in the appropriate heat and lane in the shepherd area. Escorts swimmers to the blocks and remains until a coach arrives. Responsible for coordinating relays. Shepherds are not responsible for finding swimmers. Swimmers and parents need to be aware of the events called by the announcer and go to the shepherd area at the appropriate times. Having a child in the age group you are shepherding is preferred but not required. NOTE: All parents with children 8 years old and younger are REQUIRED to sign up and work at least 1 shepherd shift. NO subs allowed for this job.

Snack Shack (1 point per shift): Assist in food preparation, snack bar set-up, food sales and post-meet clean up. First shift starts 30 minutes prior to the start of the meet. This job has 3 rotating shifts so please check the start/end times carefully.

FILLED **Snack Shack Coordinator (Season Job, 2 volunteers): Meet with the Board prior to the season to discuss budget. Determine the menu and coordinate “purchasers” before each home meet, including ice. Communicate with the Treasurer to go over payments/reimbursements. Oversee Snack Shack volunteers during home meets and work with the Treasurer to count money at the end of the meet. Communicate with the Pancake Breakfast and Pasta Feed coordinators tor use of the refrigerator and supplies.

FILLED **Snack Shack Purchaser (Season Job, 1 volunteer): Coordinate with the FHST secretary to plan the menus for the meets. Shop at various stores for each home meet and bring the food and supplies to the pool. Keep inventory of the items we have and we need. Bring ice to the meets. Must be available for all home meets or make arrangements for pre-delivery and ice.

FILLED **Stroke & Turn Judge (Season Job, 6 volunteers): This job requires training. Must attend and successfully complete the May League Stroke & Turn Clinic. Judges each swim to ensure fairness. Writes and delivers disqualification slips upon infractions. This job is only half of the swim meet. There is a shift change in the middle of the meet. This will be a team of 6 people who are responsible for scheduling yourselves for all home and away meets.

Timer (2 points per shift): Responsible for timing each race in an assigned lane with a stopwatch and/or electronic timer. One timer in each lane will also be a recorder, logging stopwatch times onto the provided meet sheet. Return timers to the head timer at the end of the meet. There is a relief timer who will come allow you to take a short restroom/snack/etc. break throughout the meet.

FILLED **Timing System Operator (Season Job, 2 volunteers): This job requires training. Sit at the table behind the starter and referee. Reset the electronic timing system between each heat. This job is only half of the swim meet. There is a shift change in the middle of the meet. This will be a team of people who are responsible for scheduling yourselves for all home and away meets.
